WhatsApp message templates for business use
The most common mistake in business WhatsApp is writing an email and sending it on WhatsApp. Formal here means clear and respectful, not long and stiff. A four-line paragraph in a chat thread gets skimmed.

Formal without being an email
Keep the courtesy, drop the structure. No subject-line equivalent, no "I hope this message finds you well", no sign-off block. Name yourself in the first line, state the matter, give the next step.
- Good morning Mr Rao, this is Anita from Kavya Jewellers regarding your order 4821. It is ready for collection any day this week between 10am and 8pm.
- Dear Ms Iyer, Meridian Design here. Your revised quote is attached. Happy to walk through it on a call if that is easier.
- Hello Dr Menon, confirming your slot on Tuesday at 4pm. Please reply R if you need to reschedule.
Everyday operational messages
These carry most of the volume: confirmations, updates, and reminders. They should be short enough to read at a glance without opening the thread properly.
- Your order has shipped and should reach you by Thursday. Track it here: {{link}}
- We received your payment of {{amount}}. Receipt attached.
- We are closed tomorrow for Diwali and reopen Thursday at 10am.

When these need Meta approval
If the customer messaged you first and you are replying within 24 hours, write freely. If you are starting the conversation, it must be an approved template with placeholders for the parts that change.
Approval mostly fails on formatting rather than content: templates that begin or end with a placeholder, or put two placeholders side by side, are commonly rejected.
Match the template category to what the message does. A promotion submitted as a utility template is a compliance problem, not a shortcut.
Frequently asked questions
Is it acceptable to be informal on business WhatsApp?
Match the customer. Most Indian customers write informally on WhatsApp and respond better to the same register, but a first message should stay respectful.
Should I use emoji?
Sparingly, and never in a message about a complaint, a delay or money. A tick or a wave is fine; anything more reads as unserious.
How long should a business WhatsApp message be?
Two or three lines. Anything longer belongs behind a link or in an attachment.
